# Compliance: preferences portal, opt-out and topics

> Every BIP email has a contact preferences link in its footer. There, the person can opt out of everything, turn off Email or WhatsApp, or uncheck topics. On WhatsApp, blocking marketing in the app itself also counts. BIP checks these choices before every send, and you tailor the topics in Settings → Topics.

Respecting what people choose to receive keeps your list healthy and your brand trusted. In BIP, each contact decides what they want to receive, and BIP applies that decision on every send, with no unsubscribe spreadsheet and no manual work.

## How it works

In the footer of every email sent to a contact, BIP includes the **contact preferences** link. Each link is personal: it opens that person's preferences, with no login. There, they choose at three levels:

Someone who turns off Email keeps receiving WhatsApp, and vice versa. Before every send, BIP checks the contact's preferences and skips anyone who opted out. The skipped contact appears in the campaign log with the reason.

**On WhatsApp**, the person can block marketing messages from your business in the app itself. Meta notifies BIP, which records the WhatsApp channel opt-out right away. If the person accepts these messages again, BIP removes that opt-out. A send refused because the person stopped receiving marketing also records the opt-out. Accepting again on WhatsApp doesn't undo a **Global Opt-out** made in the portal.

## Step by step

### 1. Tailor your topics

Topics are the subjects you send about: news, promotions, events. The contact sees each one in the portal, with an icon, name and description, and turns off whatever they don't want to receive.

1. In **Settings**, open the **Topics** tab.
2. Your namespace comes with five: **Newsletter**, **Promotional**, **Product Updates**, **Customer Feedback** and **Event**, in the language chosen when the namespace was created.
3. For each one, adjust the **Topic Name**, the icon (click the emoji to change it) and the **Description**. Write for the contact: this is what they read in the portal.
4. Use the arrows to change the order. The trash can removes a topic; the list needs at least one.
5. Click **Save**, at the top of the page.

### 2. Check the link in your email footer

BIP adds the footer to every email that goes to a contact: campaigns, campaign tests and Flows. You don't need to add any block.

1. In **Emails Templates**, open a template.
2. Click **Preview** → **Preview Email**.
3. At the end of the email, look for the sentence **We respect you, adjust your contact preferences any time.** In the real send, **contact preferences** becomes each contact's personal link.

### 3. See the portal the way your contacts do

1. Add your email as a contact in **Leads** → **Create Lead**, if it isn't in your base yet.
2. Open an email campaign, click **Test Campaign**, enter your email and click **Send Test**. Tests don't use up sends.
3. In the email you receive, click **contact preferences**. The portal opens with **Welcome, _your name_!**.
4. Check the sections:
    - **Global Opt-out**: when it's on, the person receives nothing else (**You will no longer receive any messages from us**). The other options disappear while it's on.
    - **Manage general channels preferences**: **Email** and **WhatsApp**. When a channel is on, the person receives messages through it.
    - **Choose which topics of messages you would like to receive**: one switch per topic. When a topic is on, the person receives that subject.
5. To save a choice, the person clicks **Save Preferences**.

Since the test contact is you, leave everything on at the end so you keep receiving your tests.

### 4. Track who opted out

- **Per lead**: in **Leads**, open the person. In **Lead Info**, **Unsubscribed** shows **Yes** for anyone with a global opt-out, and **Unsubscribed Topics** lists the topics turned off, by ID (for example, `promotional`).
- **Per campaign**: in an email campaign's stats, the **Opt Outs** card shows who opted out starting from that campaign. When some contacts were skipped because they had already opted out before, the title becomes **Opt Outs (prev: _N_)**, where _N_ is that number.
- **Per segment**: in **Segments**, open a segment and click **Download CSV**. The `unsubscribePreferences` column shows, for each contact, `global`, the channels (`email`, `whatsapp`) and the topics they opted out of.

### 5. Tag your Flow sends with topics

In Flows, each send node can carry topics. Anyone who turned off that topic in the portal doesn't receive that send.

1. In **Flows**, open a flow and click a **Send Email**, **Send WhatsApp** or **Send Webhook** node.
2. Under **Topics**, turn on the topics for that send. A weekend offer, for example, gets **Promotional**.
3. Save the flow.

### Default topics

The names, icons and descriptions below are those of a namespace created in **English**. The ID doesn't change when you rename the topic, and it's what appears in **Unsubscribed Topics** and in the CSV.

### Consent best practices

BIP handles the way out. The way in is up to you. These practices help keep your list in line with data protection laws such as Brazil's LGPD:

- **Ask for clear consent.** Say what the person will receive, through which channels and how often, before adding them.
- **Ask per channel.** Permission for email doesn't count as permission for WhatsApp. WhatsApp requires the person to have agreed to receive messages from your business.
- **Record the source.** BIP stores each contact's creation date and first source. When you import, use a batch tag that says where the list came from, such as `expo-april-2026`.
- **Don't use third-party lists.** Send only to people who signed up with your brand.
- **Honor requests made through other channels.** If someone asks to opt out by phone or at the counter, apply the `do-not-contact` tag and use the **Tags** → **Does not include any** → `do-not-contact` rule in your segments.
- **Speak your leads' language in your topics.** Clear names and descriptions prevent a global opt-out from someone who only wanted fewer promotions.

These guidelines are a starting point. For legal decisions, talk to whoever handles data protection at your company.

## Frequently asked questions

### Can I remove the preferences link from the footer?

No. BIP includes the link in every email sent to a contact. It's what guarantees the person can always change what they receive.

### How does a contact opt out of WhatsApp if they have no email address?

Through WhatsApp itself: when they block marketing messages from your business, Meta notifies BIP, which records the WhatsApp channel opt-out right away.

### Can someone who opted out come back?

Yes. In the portal, the person turns back on whatever they want and clicks **Save Preferences**. On WhatsApp, they just accept marketing messages from your business in the app again.

### Do contacts who opted out stay in my base?

Yes. An opt-out doesn't delete the contact: they stay in **Leads**, with their history, and BIP only stops sending what they declined.
